Program Activities Coordinator Job Description

The Program Activities Coordinator will perform duties as it relates to the programs of our agency while maintaining the standards of service delivery as it is required by Big Brothers Big Sisters of Canada.  The Program Activities Coordinator will organize agency and program activities and events for children and youth, which supports the agency Mission and Vision.

Note: This is a new position, supported by a dedicated grant and is separate from our current fundraising efforts.

Delivery and Development

  • Ensure program and agency compliance, in accordance with National Standards
  • Develop and administer programs that support organization’s objectives of mentorship, guidance and friendship
  • Create, plan, coordinate and execute agency wide programs and events
  • Deliver programs within the community, supporting children and youth
  • Assist Caseworker with on boarding new littles when needed
  • Assist Program Manager and service delivery staff in overseeing funded programs
  • Partner with community and other organizations to support initiatives, seek out and work together to provide programs and services for children and youth
  • Assist with recruiting volunteers to assist with service delivery, specifically for group based programs
  • Document and provide reports/stats as requested
  • Maintain strict confidentiality as outlined in agency Privacy and Confidentiality Policy
  • Ensure all volunteers, families and littles are informed of agency information
  • Work with Service Delivery Lead Board Member for reporting and capturing program impacts
  • Write a monthly newsletter/calendar of events to parents and families regarding activities and program opportunities
  • Work with ISM Coordinator to facilitate events for school age-children
  • Work with ISM Coordinator and schools to identify perspective participants
  • Record stats and comprehensive case notes, complete activities and events summaries, analysis and recommendations for business continuity
  • Recruit, lead and facilitate Sub-Committees for events and program activities
  • Perform administrative functions as required to coordinate activities and events
  • Participate in educational training as identified
  • Assist Board and Fundraising Coordinator when needed
  • Other duties as required

Planning & Organization 

  • Plan annual agency wide events, including annual Christmas Party
  • Plan, coordinate and facilitate group activities and events
  • Plan and coordinate annual volunteer and donor events
  • Assist with agency publicity by planning participation in Community Parades
  • Plan and coordinate events for children and youth within the community as outreach and community engagement
  • Facilitate school-focused group-based programs
  • Assist with programs and service delivery as needed

Qualifications

Candidates that absolutely love planning activities and events for children and youth, and have a record to prove it, are strongly recommended to apply! We are looking for someone who will love what they do and be great at it!

Ideal candidates will bring a combination of experience and knowledge of working with young people and demonstrated success planning and delivering events, activities and programs. Strong skills in event planning, marketing and promotion are a definite asset.

While formal education is valued, such as a college diploma or degree in Social or Human Services disciplines, such as Child & Youth Worker, Social Service Worker, Early Childhood Education or equivalent, if you have at least 2 years hands on experience planning activities/events/services for children and youth, your application will be seriously considered.

In addition, candidates shall possess:

  • Effective oral and written communication skills
  • Strong problem solving skills, ability to make decisions with little supervision
  • Knowledge of and/or experience in not for profit sector
  • Ability to interact with people of all ages and backgrounds
  • Proficient computer and administrative skills, experience with Microsoft applications
  • Ability to work flexible hours
  • Access to vehicle
  • Clean Criminal Records Check/Vulnerable Sector Check

This position is a 1 yr contract, with potential for extension, 35 hrs week, $24.18/hr.
